Who we are

coursdepoetique.org is run by Cours de Poétique Projects Ltd, a company registered in England and Wales (company no. 15735146), registered address The Old Byre, Newport Road, Cowes PO31 8PE (‘we’, ‘us’, ‘our’). We are the controller of the personal data described in this policy. If you have any questions, please email info@coursdepoetique.org.

What we collect and why

When you place an order we collect your name, email address, billing and delivery address, the items you order and the amount paid. We use this to process and deliver your order, to send you order and dispatch confirmations, and to deal with any questions, returns or refunds. The legal basis is the performance of our contract with you. We also keep order records to meet our accounting and tax obligations (legal obligation).

Payments are handled by Stripe. Your card details are entered directly into Stripe’s secure payment form and are never seen or stored by us. We receive only a payment reference and confirmation that the payment succeeded.

When you email us we use your name, email address and your message to reply to you.

When you visit the site our web server records technical information such as your IP address, browser type and the pages requested. We use these logs only to keep the site secure and working (legitimate interests) and delete them after a limited period.

Analytics: only if you agree, we use Google Analytics to understand how the site is used, for example which pages are visited and how visitors arrive. The legal basis is your consent, which you can withdraw at any time (see below).

We do not sell your personal data, and we do not use it for advertising.

Who we share it with

We use a small number of service providers who process data on our behalf and under contract:

  • Stripe (payment processing)
  • Mailchimp Transactional / Mandrill, by Intuit (sending order emails)
  • DigitalOcean (website hosting and storage, London data centre)
  • Google (Google Analytics, only with your consent)
  • Royal Mail or another carrier (your name and delivery address, to deliver your order)

Some of these providers are based in, or may access data from, the United States. Where personal data leaves the UK, it is protected by the UK’s adequacy arrangements (including the UK Extension to the EU–US Data Privacy Framework) or by standard contractual safeguards approved for the UK.

How long we keep it

Order and payment records are kept for six years after the end of the financial year in which the order was placed, as required for tax and accounting purposes. Emails are kept for as long as needed to deal with your enquiry. Analytics data is kept for 14 months.

Cookies

Cookies are small text files stored by your browser. We use two kinds.

Essential cookies are needed for the site and the shop to work, so they do not require your consent:

  • sessionid: remembers the contents of your basket during your visit (up to 2 weeks)
  • csrftoken: protects forms against misuse (up to 1 year)
  • __stripe_mid, __stripe_sid: set by Stripe for secure payments and fraud prevention (1 year and 30 minutes)
  • cookie_consent: remembers your cookie choice (30 days)

Analytics cookies are only set if you click ‘I am ok with that’ in the cookie banner:

  • _ga, _ga_*: Google Analytics, to distinguish visitors and sessions (up to 2 years)

If you choose ‘Disable Analytics’, no analytics cookies are set and Google Analytics does not load. To change your choice later, delete the cookies for this site in your browser settings and the banner will appear again on your next visit.

Your rights

Under UK data protection law you have the right to ask for a copy of your personal data, to have it corrected or deleted, to restrict or object to its use, to receive it in a portable format, and to withdraw your consent at any time. Some of these rights are limited where we must keep records by law. To make a request, email info@coursdepoetique.org.

If you are unhappy with how we have handled your data, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO), ico.org.uk.

We may update this policy from time to time. The date at the top shows when it was last changed.
